    Privacy Policy

    LAST UPDATED: 10/16/2026

    1. Scope
This Privacy Policy applies to all services provided by SwitchFlow AI LLC, including websites, hosting, lead forms, online inbox tools, phone systems, chat, review tools, automations, missed call text-back, follow-up campaigns, SEO/content tools, SMS/A2P messaging, analytics, advertising, and related services (collectively, the "Services").

    2. Client Customer and Lead Information
As part of our Services, SwitchFlow AI LLC may collect, access, process, or store information relating to our clients' customers, leads, prospects, and website visitors. This may include names, phone numbers, email addresses, form submissions, quote requests, chat messages, call activity, appointment details, message history, review requests, and related communication records.

    3. Use of Client Customer Data
We use this information only to provide, operate, support, improve, and deliver the Services requested by our clients. This includes powering websites, lead notifications, inbox tools, missed call text-back, automated follow-up, review requests, chat, phone systems, reporting, campaigns, and related communication services.

    4. No Sale of Data and SMS Consent
SwitchFlow AI LLC does not sell, rent, or trade personal information, customer information, phone numbers, or SMS consent. We do not sell customer contact lists or SMS opt-in consent, and phone numbers and SMS consent are never shared with third parties or affiliates for their marketing purposes under any circumstances. This commitment strictly aligns with A2P 10DLC and telecommunication carrier requirements.

Separately, certain advertising-related activities may involve the "sharing" of personal information as that term is defined under applicable privacy laws (for example, using Meta Pixel for advertising measurement, as described in Section 12). This advertising-related sharing is entirely separate from our SMS consent practices, which are never sold or shared with third parties for their marketing purposes.

    5. SMS Communications & Consent
We may communicate with you via SMS for service-related purposes (such as appointment reminders, quote updates, and customer support) or optional marketing/promotional purposes. Message frequency varies. Message and data rates may apply. You can reply STOP at any time to opt out of messaging, or reply HELP for more information. Marketing SMS communications require separate affirmative consent and are never a condition of purchase for any goods or services.

    6. Third-Party Communication Platforms
SwitchFlow AI LLC utilizes third-party CRM, messaging, phone, chat, and automation providers to route, temporarily store, and process communications necessary to deliver our services. These platforms are used strictly as communication and hosting tools; they are not used for hidden session replay, keystroke logging, or behavioral recording before a user submits their information.

This is separate from the advertising event tracking described in Section 12 (for example, Meta Pixel conversion events), which records limited advertising measurement events such as page views and booking completions — not session replays, screen recordings, or keystroke capture.

    7. Service Providers and Advertising Partners
Service providers. We may share information with trusted service providers only as needed to operate the Services. These providers include hosting providers, CRM/software platforms, phone carriers, messaging providers, email providers, payment processors, AI/software tools, and other vendors that process information on our behalf under obligations of confidentiality.

Advertising partners. We also use advertising and analytics partners, including Meta (Facebook), that may receive limited information (such as pages visited, website interactions, browser and device information, IP addresses, cookie identifiers, and appointment booking conversion events) to measure and improve our advertising. These partners process information under their own terms and privacy policies, not as our confidential service providers. See Section 12 for details on our use of Meta Pixel.

    8. Client Responsibility for Consent
Clients are solely responsible for ensuring they have the proper rights, permissions, and legally required consent to provide customer, lead, prospect, phone number, email, or contact information to SwitchFlow AI LLC for marketing, follow-up, review requests, reactivation, or customer communication.

    9. Billing Information
Payment and billing information is securely processed by our payment processor, Stripe. SwitchFlow AI LLC does not store full credit card numbers on its own servers.

    10. Security
SwitchFlow AI LLC uses reasonable technical, administrative, and physical safeguards to protect your data. However, no method of transmission over the Internet or electronic storage is completely secure, and SwitchFlow AI LLC cannot guarantee absolute security.

    11. Retention
Information may be retained while your account is active or as needed to provide the Services, comply with legal obligations, resolve disputes, collect fees, prevent fraud, maintain backups, enforce agreements, and support legitimate business purposes.

    12. Cookies, Analytics, and Advertising
We use Meta (Facebook) Pixel to measure and improve our advertising. Through Meta Pixel, we or Meta may collect or receive information such as pages visited and website interactions, browser and device information, IP addresses, cookie identifiers and advertising identifiers, appointment booking conversion events (such as when a visitor completes a booking), and other information transmitted through our tracking configuration. This information may be used for advertising measurement, conversion tracking, retargeting, and improving our advertising campaigns. Meta may process this information under its own privacy policy and terms.

To manage advertising tracking preferences, use the "Your Privacy Choices" link in our website footer or your browser's privacy controls (such as Global Privacy Control). Opting out limits future advertising tracking where we can control it; it does not delete information that advertising partners such as Meta may have already received. We do not transmit appointment notes, sensitive information, or unnecessary personal information to Meta through this tracking.

    13. California and U.S. State Privacy Rights
Depending on your location and the nature of our business, U.S. state privacy laws — including the California Consumer Privacy Act (CCPA) and the California Privacy Rights Act (CPRA) where applicable — may give you rights regarding your personal information, such as the right to know and access the personal information we collect, the right to correct inaccurate personal information, the right to delete personal information, and the right to opt out of the "sale" or "sharing" of personal information for targeted advertising. Whether these rights apply to you depends on the applicable law and whether our business is covered by it.

To exercise advertising-related opt-out rights, use the "Your Privacy Choices" link in our footer. For other rights requests (access, correction, or deletion), email support@switchflowai.com. We will review and respond to verifiable requests as required by applicable law, and we will honor applicable Global Privacy Control (GPC) signals by limiting advertising tracking where we can control it. If we decline a request, we will explain why and, where applicable, inform you of any appeal rights. We do not discriminate against visitors who exercise their privacy rights.

The categories of information we may collect, the purposes of collection, the recipients, and our retention practices are described throughout this Policy.

    14. Business Transfers
In the event that SwitchFlow AI LLC goes through a business transition, such as a merger, acquisition, sale of assets, restructuring, or similar business transaction, your information and your customers' information may be transferred as part of the assets.

    15. Publicity
Unless Client requests otherwise in writing, SwitchFlow AI LLC may identify Client as a customer and use Client's name and/or logo in marketing materials.

    16. Privacy Requests and Contact Info
If you have questions about this Privacy Policy, or wish to request access, correction, or deletion of your information (subject to legal, business, security, and technical limitations), you can use the "Your Privacy Choices" link in our footer for advertising opt-outs, or contact us at:
